16 Steps to Pitching at Conferences

  1. Download, fill out and return forms
    1. We need a signed Submission Release form and a Client Get To Know You form in order to review your materials.
    2. Download forms HERE.
  2. Develop Show Materials
    1. Example treatments and 1-sheets included in our workbook. Click HERE to download.
  3. Practice Your Pitch During training calls. Click HERE for training schedule.

  4. Register for conferences.

  5. Make Travel and Hotel Arrangements.

  6. Research networks
    1. Look online at network websites (ie: NBC.com, Nick.com), IMDBpro.com and TV.com
    2. Once you register for a conference, networks and studios listings are available on each conference site
  7. Make Calls/Send E-mails to Set Up Meetings.

    2. Refer to e-mail in our workbook and fill in the blank with your information. Click HERE to download.
  8. Print/Duplicate Pitch Materials
    1. 1-sheets should be printed on glossy card stock. Click on link for 1-Sheet printing specs.
    2. DVDs should have your contact information on cover and disc label.
    3. Sample videos should also be on your Tablet, iPhone, Blackberry or other portable device.
    4. Treatments printed on basic copy paper. (You will make changes)
    5. Business cards for you as a creator and/or on-air talent. We recommend www.PrintRunner.com
  9. Prep the Supplies to take to the conference
    1. List of supplies in our workbook. Click HERE for workbook.
  10. Understand the Layout of conferences
  11. Go to Seminars and Panels
    1. Meet the people sitting next to you. They could be the head of a network.
    2. Sit alone. You have a better chance of meeting more people if you don’t sit with a friend.
    3. We’ll recommend seminars as the events get closer. Click HERE for that list.
  12. Prep for Meetings
    1. Ottawa Int. Animation Festival
      1. Contact attendees before TAC
      2. Hang out in the lobby
      3. Attend sessions
    2. MIPCOM
      1. Pre-set meetings if possible
      2. Go to the parties
      3. In the sessions
  13. Pitch
    1. Pitch at your pre-set meetings.
    2. Pitch at speed pitch and pitch pit sessions.
    3. At the MIPCOM booths
    4. Pitch to people you meet in the elevator.
    5. Ask them how they prefer you follow up with them.
  14. Hang Out in the bars at the conference hotel.
    1. The industry execs are there. You should be there too.
    2. Be prepared with cards and demos where ever you are.
  15. Take Notes
    1. Have a notepad or audio recorder for notes immediately after each meeting
    2. Write notes on the back of their business card
  16. Follow Up.
    1. Recorded training for Follow Up available below. Click HERE.
    2. Call or email as the executives requested.
    3. Refer to your notes regarding how each pitch went for any notes they offered or problems they saw.
    4. Adjust your package if necessary before you send it out.
    5. Have a response or a fix for any negatives executives had about your project.

Of course, you should also have FUN. You will meet tons of great people and there is always lots to do.

Step 3: To choose your discount (for 2012 only), drop down the ‘Select Pass Type‘ box.
If you are only attending TAC, select ‘TAC Only Pass (Chateau Laurier Discount) $445
If you want to attend TAC and the festival,  select ‘TAC AnimaPass (Chateau Laurier Discount) $500
***As a member of our Tour, you do NOT have to stay at the Chateau Laurier to get this discount. 

You do not need to register for the festival to get all your meetings and business seminars, but there are many great screenings and extra general public seminars you may want to check out.


MIPCOM:

Cannes, France

(We recommend arriving on 10/6, or earlier to adjust to time difference, and departing no earlier than late on 10/10.)

MIPCOM Jr requires a separate  registration fee.

When you get there, Registration to pick up your badge is easy to find. Here’s a map:

Travel

Passports are needed for both travel to both France and Canada.

Tuesdays are often the cheapest days to book flights.

Get there the night before and hang out in the bar where each event is held and you can make great contacts.

You do not need a car for either conference.

MIPCOM – 2 Travel Options

Option 1:

  • Saturday, October 5th – Fly into Paris and spend the night.
    • Fly into Charles de Gaulle (CDG) Airport
    • Stay in a hotel in the area of Gare de Lyon train station.
      • Area called Gare de Lyon or arrondissement de Reuilly
  • Sunday, October 6th – Take the high-speed train to Cannes the next morning.
  • Make sure you get in and settled by mid-afternoon.
  • Take the First Timer’s Tour

Option 2:

  • Saturday or Sunday, October 5th or 6th Fly into Nice, France.
  • Take the bus, train or taxi into Cannes. It’s a 45 minute ride.
    • BUS: There is a bus line (AirportXpress) that operates from the Nice Airport to the Cannes bus station via Le Cannet.
      • Buses run every 30 minutes and the trip takes 50 minutes.
      • Bus 210 can be found at: Terminal 1 (Gate A0) and Terminal 2 (between gates A1 and A2).
      • One-way ticket: €16.50/ Return ticket: €26.50.
      • Buy your tickets online by visiting http://uk.niceairportxpress.com.
    • TRAIN: Get to the Nice Saint Augustin Train Station from the airport.
      • Go to Terminal 1, Gate 6, and take bus 23, direction Vallon des Fleurs(€1).
      • Disembark at Gare SNCF Saint Augustin (second stop) and walk to the station.
      • One-way tickets are available from €6.10.
      • For train schedules, information and reservations visit www.tgv-europe.com.
    • TAXI: Available from Terminal 1 (Gate A1) and Terminal 2 (Gate A3).
      • Average fares to Cannes: €80.
      • Reserve a taxi in advance at no extra cost: +33 (0) 8 90 71 22 27 (24 hours) or taxi.allo@wanadoo.fr.
  • Make sure you get in and settled in Cannes by mid-afternoon on Sunday.

Plan to leave Cannes late on Thursday, October 10th or anytime on the 11th.

TAC in Ottawa

  • Fly into Ottawa, Ontario on September 17th.
    • Ottawa Macdonald-Cartier International Airport
    • Plan to arrive and settle by mid-afternoon on September 17th.
  • Take a cab to your hotel.

We’ll go over any other questions you have and you can practice pitching some more. You may even meet some executives before the event even starts.

There is an Animator’s Picnic event on Friday that you should also attend, so plan on staying until late Friday or Saturday morning.

Hotels

We always recommend staying the hotel where events take place, as you will have the most unexpected contacts and meetings there. The hotel is likely to sell out, so register for your room early.

MIPCOM

There are many hotels within a short walk to the conference. http://www.mipworld.com/en/prepare/book-your-accommodation/

Regardless of where you stay, plan to be out at the parties deep into the night. There are buses that run to most accommodations.

TAC in Ottawa

We always recommend staying at the host hotel at all conferences.  That’s where all the executives stay.

  • No host hotel this year.
  • Check TAC website for Accomodations
  • Stay in the top recommended hotels to have better chances of running into executives there.

  • Novotel – $194
  • Courtyard by Marriot – $165

The main hotel can be a bit pricey. There are many other close hotels to stay in. TAC has deals set up to help you get the best deal.

 

Currencies

As of July 28, 2012, 100 Euro = $133.80 US as of 8-26-2013

US $ and Canadian $ are very close, $100 Canadian = $95.21 US.

Pulling local cash out using your bank ATM card gets you the best rate.

Phones

Option 1:  (Best cost efficient method!)

  • Rent online.

Purchase or rent an international phone while traveling.

Option 4:
Purchase an international SIM card.  (Not available for iPhones.)

Dress

All of these conferences are relatively formal, but creatives generally do not wear suits. Only network executives and sales people wear suits. You need to look nice, but not necessarily wear a suit. We will cover this in detail in one of our training sessions.

Mark Simon NEVER wears a suit.

Wear comfortable shoes. Nice tennis shoes are fine.
